Overall Facility Management of all Warehouses and Offices: - Scouting for new facilities as per management guideline and negotiate best lease option with the landlord. - Maintaining the data of existing lease agreements and ensure compliance. - Keeping facility permits in place and renewing them from time to time, wherever required. - Ensuring proper security measures for all workplaces, including collaborating with security system vendors or a team of security professionals. - Making processes for the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces. - Performing routine inspection on all facilities and undertaking repairs as needed. - Scheduling routine inspections and emergency repairs with outside vendors. - Maintaining day-to-day operations of facilities, such as delegating or completing maintenance orders. - Creating reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff. - Make sure the facility is properly maintained with regards to HVAC throughout the year. - Preparing facilities for changing weather conditions. - Ensuring OSHA compliance. Discussing with management about variance and taking appropriate measures to cease gaps. - Office maintenance – utilities upkeep etc. Cold Storage Erection, Routine Inspection and temperature maintenance: - Scouting for partners who can erect cold storage and negotiating best deals with them. - Preparing yearly schedule of cold storage maintenance and making sure that it is followed rigorously as per schedule. - Maintaining daily log of freezer temperature for all warehouses. - Analyzing the electricity consumption for all warehouse on monthly basis and advise on better usage. - Researching for any government grants which are available for business facilities and working with finance to avail the same. - Daily inspection of the cold storage. Equipment Management: - Maintaining a list of all company equipment and keeping it updated from time to time. - Maintaining service record of all equipment to making sure the equipment is in running condition all the time. - Co-ordinating with vendors for regular service of equipment. - Training the warehouse staff on operation of equipment and organizing certification for them to operate the equipment.
