**Summary:**

Warehouse Confidential: The Warehouse Specialist reports directly to the Program Manager/General Manager with a dotted line to the Warehouse Manager. The purpose of the position is to communicate accurate, necessary information to the Department of State, Despatch Agency through ILMS and Magaya (WMS), internal/external customers in all areas. To keep inventory integrity at 100%

**Responsibilities:**

* Responsible for the inbound shipments are to be received and processed, put away in the warehouse management system with the guidelines set forth in the standard operating procedure by close of business every day

* Selected candidate will ensure that items received on receiving docks are efficiently received & truck offloads are timely.

* Keep truck traffic free of lines

* Must keep floors clear of freight

* Must verify all inbound paperwork is compliant w/DOS purchase order, embassy name

* Warehouse Specialist will record 100 receipts or 100 cartons per day for small packages, UPS, FedEx and the like

* Ensure that all copies of receipts, packing list, freight bills are turned in to the front office by COB every night

* Candidate will run the end-of-day report for Floor Checks location

* Will verifying all inventory moves were made. If there is anything left on the Floor it is to be resolved before warehouse leaves for the night

* Ensure all small pack tracking numbers are scanned into an Excel spreadsheet and verify the total number of pieces received equals the number of pieces signed for

* Maintain Driver Sign in Sheet and report to the Program Manager daily

* Upload pictures of freight that needs crating, is damaged, questionable, etc. and attach to the receipt

* Report weekly to DA-MIA all freight and or packages that were refused to the Program Manager and copy the Warehouse Manager

* Reconcile daily cycle counts as outline in the standard operating procedures

* Freeze inventory by COB

* All discrepancies are to be reconciled daily and emailed to management for additional verification

* Coordinate with Warehouse Manager personnel to perform daily put away verification

* Coordinate with Warehouse Manager personnel to perform daily Safety and Housekeeping Inspection

* Responsible for the collection of Weekly Forklift Inspection Sheets

* Build and maintain good relationships with trucking companies and DOS vendors

* Coordinate customer or vendor pickups with the front office and outside truckers

* Safety - makes sure truckers turn off their vehicles, they chock their wheels before they are offloaded, Dock Plates are in use when offloading trucks

* Execute all the instructions or requests from DOS, DA-MIA, Suvi CRP, Management and Front Office

* Update storage calculations for invoicing by COB every day

* Keep up good housekeeping practices throughout the warehouse

**Secondary Responsibilities:**

* Manage and resolve staffs computer, login, FOB and update issues

* Perform forklift written and hands on training every three years

* Any other job duties or tasks as determined by management

**Qualifications**

**Minimum Qualifications:**

* Must have a minimum of a HS or GED

* Must be able to use a scan gun

* Must have a basic understanding of Microsoft suite

* Candidate must have a forklift certification or a forklift license

* You must be able to meet all health requirements, including but not limited to, current and future vaccination requirements for infectious diseases such as COVID-19.
