The VP of Finance contributes to Chamber goals of membership, economic development, community, revenue, and relationship growth by managing the general ledger, ensuring a timely and effective monthly close process, and preparing monthly financial statements for all entities and departments.

The VP of Finance also ensures that all revenues and expenses are appropriately recorded in accordance with US GAAP and that the general ledger structure and reporting processes support the efficient creation of periodic reports to granting organizations.

The VP of Finance ensures that donor-restricted funds are properly identified and accounted for in the financial statements and assists in monitoring the use of grant funds in accordance with award terms.

The VP of Finance maintains positive relationships with employees by ensuring the accurate and timely processing of payroll and other forms of compensation as well as assisting with administration of the Chamber 401k plan. With access to personnel files and payroll information, adherence to confidentiality protocols is imperative.

The VP of Finance oversees the annual financial audit process and acts as the primary liaison with the external auditors to ensure all requested information is provided in an accurate and timely manner. The VP Finance also coordinates the preparation of annual tax filings with the CPA firm and provides requested information in an accurate and timely manner to ensure compliance with all filing requirements.

There are a variety of duties performed by members of the Finance Department of the Chamber and, while various responsibilities, activities, and tasks performed in this department are assigned to specific individuals, daily responsibilities may shift from time to time as requested by the CFAO. The ability to work with other members of the department as a functioning team is critical.

Requirements

Accounting and reporting functions for Chamber, Develop Indy, Indy Partnership, Foundation, LLC and BOI accounts:

Assume a lead role in the creation of the annual budget for all business units;

Maintain accurate fund accounting for all Chamber Initiatives and Projects and ensure that all vendor payments and receipts are appropriately recorded;

Analyze financial data, including membership data, expense trends and affinity program income;

Establish and maintain an effective monthly close process, with reconciliation of all balance sheet accounts in a timely manner to allow for the timely preparation and distribution of financial statements/reports.

Ensure accurate preparation and review of accounting journal entries;

Ensure all paperwork for hourly employees and any other payroll-related work is coordinated with the Chamber’s payroll processing company;

Maintain strong working knowledge of Microsoft Great Plains and Salesforce;

Ensure that all semi-monthly payroll is processed timely and accurately;

Calculate sales commissions and other variable compensation liabilities;

Prepare payroll/401k journal entries, including payroll expense allocations;

Ensure all bank accounts are promptly reconciled to the General Ledger;

Review and record all lease accounting journal entries and ensure lease-related balance sheet assets and liabilities are reconciled monthly;

Research new accounting pronouncements affecting the organization’s financial statements and assist as necessary in their implementation;

Manage all annual and quarterly tax filings, including coordination with CPA firm to ensure all information is provided timely;

Review month end financials with department leaders and update forecasts based on input received, trends and other relevant factors;

Ensure a reasonable segregation of duties and compliance with other internal control processes to help safeguard the organization’s assets;

Ensure that all intercompany and inter-division accounts are reconciled monthly and work with CFAO to settle balances as appropriate;

Oversee the annual financial audit process and assume the role of primary liaison with the external auditors to ensure all requested information is provided in an accurate and timely manner;

Manage the 401K plan details with RPCSI and ensure all compliance requirements are met timely;

Perform ad hoc financial analyses as requested by the CFAO.

Other administrative functions:

Develop working relations with other staff members of the Chamber and support their needs from an administrative perspective;

Assist with special projects such as vendor rationalization, documentation of processes and controls, presentations for the Board, providing

Preferred Qualifications

Bachelor's degree in accounting

Experience in Accounting/Finance with 4-8 years overall experience and at least 3-4 years in a managing role preferred.

Experience with Microsoft Dynamics (Great Plains) accounting and/or similar software preferred.

Working knowledge of Microsoft Word with advanced knowledge and experience in Microsoft Excel required.

Experience in Not-for-Profit accounting and reporting preferred.

CPA highly preferred
