**Department of Medicine: General Internal Medicine has an outstanding opportunity for Finance Manager (Program Operations Analyst).**

The University of Washington’s Division of General Internal Medicine (GIM) is considered among the top Divisions of General Internal Medicine in the nation. The Division has a workforce of over 550, with 460+ faculty members who are known for their outstanding research, teaching, and patient care. The Division conducts its activities at the UW Medical Center (UWMC-Montlake and Northwest), Harborview Medical Center (HMC), and the VA Puget Sound Health Care System (VAPSHCS) and VA Boise, with research located at multiple sites across Seattle. GIM has faculty in seven academic primary care clinics as well as in neighborhood clinics located across the Puget Sound and manages inpatients at four Seattle area hospitals. GIM is the largest division in the Department of Medicine and includes both clinical and research functions with a total annual budget of over $110m.

**Position Purpose**

The Finance Manager serves as the expert for faculty compensation, budget management, and divisional financial planning.

• Works with division Administrator and Associate Administrator to plan and monitor division budgets.

• Responsible for implementing appropriate costing allocations to GIM faculty.

• Liaises with department-level finance and payroll personnel, partnering to communicate and manage faculty payroll changes in multiple systems.

• Responsible for the financial analysis and management of divisional budgets and faculty and staff compensation.

• Monitors fiscal activities to ensure compliance with Federal, State, University, Department of Medicine and School of Medicine’s policies and procedures.

**RESPONSIBILITIES:**

Under the general direction of the Associate Administrator for Grants & Finance, the Finance Manager is responsible for providing expert confidential financial analysis and supporting services including, but not limited to:

**_Faculty Compensation Program Analysis:_**

• Reviews and approves faculty payroll at the division level which includes almost 400 faculty. Oversees communication and independently initiates corrective action for payroll issues ensuring that Division staff and leadership and Department Finance office are briefed as appropriate.

• Serves on Department of Medicine committees to provide subject matter expertise with reporting systems to improve accuracy and efficiency.

• Oversees the payroll distributions for all elements of faculty pay. Manages Administrative Supplements and temporary pay increases, and serves as the liaison to the Department of Medicine to ensure faculty pay is accurate.

• Reviews and processes salary adjustments as they relate to Division funds ensuring compliance with salary cap and other compliance issues. Responsible for analyzing and verifying salary transfers (Payroll Accounting Adjustments) for GIM and works with Division research administrative staff to review and initiate salary transfers as they relate to division budgets and funding resources. Coordinates with Department and Hospital financial staff for budgets outside of GIM.

• Designs, develops, and maintains complex Excel workbooks (with embedded macros, links, etc.) to create division wide summaries that track and project faculty payroll across budgets and by specific funding categories throughout the fiscal year.

• Prepares analysis and data reports to assist in interpreting faculty and staff salaries to be used in projecting annual budget.

• Maintains faculty payroll files.

**_Division Analytics and Reporting_**

• Manages the operating costs in the Division through budget development, reporting and analysis. This position directly impacts decision making regarding allocation of funds for all business operations. This position will counsel and advise the Division Administrator and Associate Administrator on the fiscal health of the Division’s operations, gift and commitment funds.

• Assists the GIM leadership with financial reporting including planning, interpreting, reviewing and conducting analyses for the Division’s annual budget. Develops, modifies and maintains multiple complex Excel workbooks with linking spreadsheets that track varied and complex sources of funding and expenditures for the Division.

• Design, develop and recommend process improvements and assist in implementing changes to fiscal information systems which have a department-wide impact.

• Interface with division leadership and research faculty and staff addressing Division funding inquiries and issues.

• Conducts payroll reviews, reconciles gift and administrative budgets, and projects expenses for various fund allocations and monitors and adjusts funding allocations sources as necessary to maintain positive balances amongst multiple operational funds.

• Purchases for multiple division sections using Ariba, ProCard and the division CTA account. Reconciles ProCard and CTA account and maintains files. Processes reimbursements for faculty for purchases and travel expenses.

**_Other Duties and Project Work as Assigned_**

• Other duties and ad hoc projects on an as assigned and/or as needed basis.

**MINIMUM REQUIREMENTS:**

BA in Accounting, Business or related field plus a minimum of two years related experience.

**Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS:**

• Excel at an intermediate or higher level

• Strong organizational skills

• Basic accounting principles

• Ability to develop and communicate training materials

• Experience in an academic setting

**DESIRED:**

• Knowledge of UW financial systems including Workday, ProCard, and CTA

• Previous experience managing fiscal affairs for faculty appointments

• Experience with advanced and linked spreadsheet management
