Description
The Community Outreach Assistant aids in administering a range of programs that support local and state-wide animal welfare organizations. This position supports the Community Initiatives department with administration of the Pet Food & Supply Bank, Community Cats Program, Pets in Crisis Program, research, events, and other community initiatives. The Community Outreach Assistant fosters and maintains productive relationships with affiliate organizations, community members, and donors.
Duties & Responsibilities
Pet Food & Supply Bank
Point of contact for clients; effectively communicate program updates and information
Manage and resolve support tickets or other client concerns
Maintain PantrySoft storefront and portal for client ease & effective donation distribution
Invoice clients and maintain accurate records and receipts
Onboard and orient new clients into programs and software utilization
Boost client activity and customer success through engaging communication
Maintain data for reporting purposes
Submit required data and documentation to donor organizations
Assist with transporting supplies or sorting donations as needed
Other programs, grants, events, and community initiatives Data entry
Present research and reports
Share information and engage with the public at events
Opportunities for cross-training in veterinary assistant tasks
General duties Utilize existing software (Hubspot, PantrySoft, ClinicHQ, Petpoint, etc.) to maintain and improve efficiency within Community Initiatives programs
Always represent AHS in a professional manner
Manage time to support several areas of focus simultaneously
Follow all written and verbally communicated departmental standard operating procedures
Assist on-site at warehouse, shelter, or in community setting with scheduled events
Other duties as needed
Qualifications High school diploma or GED equivalent
Must be able to set aside personal judgement for the betterment of the client and the animals
Must be able to work well with a diverse group of staff, volunteers, and clientele: different races, ethnicities, faiths, sexual orientations, income levels, etc.
A passionate advocate for and desire to work to improve the welfare of animals
Proven ability to exercise sound, independent judgment
Self-reliant, highly motivated, able to work independently with minimal supervision and a positive attitude
Discretion in handling confidential information
Demonstrated ability to communicate effectively, orally and in writing
Excellent interpersonal skills; Ability to work effectively as a team player
Demonstrated ability to multi-task effectively and shift focus easily and often
Strong organizational skills
Strong computer literacy and experience with Microsoft Office Suite
Valid Georgia driver's license or ability to obtain a valid Georgia driver's license and must be an insurable driver by the AHS insurance provider.
Must be willing to travel across the State of Georgia as needed, with out-of-state travel possible
Must have flexible hours and be willing to work occasional evenings and weekends as needed
Animal experience a plus
Working Conditions Some remote work possible must have access to high-speed internet
Performs work in an office setting as well as within the community.
Potentially subject to animal bites and scratches, high noise levels, and strong smells
Safe handling of cleaning supplies and other equipment in compliance with safety rules and in accordance with SDS rules required
Physical efforts require constant bending, stooping, loading, hauling and unloading of various equipment, materials, supplies and lifting up to 50 lbs. with reasonable accommodations
