Under new leadership, the CIC is broadening our vision from a museum that requires people to come to us, into a community organization that meets people where they are. We’re more fully embracing the people and places of our service area: Grays Harbor County and the western Olympic Peninsula. We’re reenvisioning our biology, ecology, and anthropology programs as the means to an end – the goal being a reconnected community – so we can create a more dynamic organization that leads a more dynamic region. To do this, we’re refashioning the CIC into an institution that utilizes cultural and natural history to inspire creative engagement with a changing world.

Summary of Responsibilities

Financial Administration - 75% of hours

Bookkeeping - The Operations Coordinator will be responsible for managing the expenses and revenue of the CIC in the following ways: (1) receiving and recording all bills and invoices, working in coordination with specific CIC board members and Executive Director; (2) receiving and recording all earned revenue, including donations, sponsorships, and grants, working in coordination with specific CIC board members and Executive Director; (3) sending invoices as needed to CIC partners.

Cash Maintenance

- The Operations Coordinator will ensure the CIC’s cash needs are met in the following ways: (1) collecting and recording all cash revenue (earned through visitor services or programs) and then depositing that cash; (2) maintaining petty cash for use in the CIC bookstore.

- Retrieving CIC mail, distributing and filing CIC mail to the correct persons, and sending and answering CIC mail as directed will all be responsibilities of the Operations Coordinator.

- Working in coordination with the Executive Director, the Operations Coordinator will ensure that the CIC maintains all municipal, state, and federal licenses and certificates.

- Coordinating with other staff, the Operations Coordinator will ensure that orders are created, filled, tracked, and utilized to ensure the smooth functioning of the CIC museum, bookstore, education, development, communications, and outreach functions.

Physical Requirements

While performing the duties of this position, the employee is required to sit for long periods of time, listen and respond to verbal instruction and direction, read and respond in writing to verbal instruction and direction, and use a computer on a consistent basis. The employee must occasionally lift and/or move up to 50 pounds. Noise level in the work environment is usually quiet.
