Overview
This position must provide the overall daily functional communications and documentation requirements of the Assisted Living Community personnel records while insuring confidentiality of all resident’s and personnel records.
Responsibilities
PCS Coordinator:
Submit new referral to Liberty DMA 3051 Physician Authorization the day of admission - Ensure form is completed appropriately
Submit Change of status to Liberty DMA 3051 immediately upon request of RCC - Ensure form is completed appropriately
Maintain PCS Spreadsheet
Maintain PCS Notebooks/Filing
Submit appeal request upon request of RCCComplete PASRR for new admissions and provate pays that convert to Medicaid
Update census to FileZilla daily
Payables:
Submit bills to the VSC payables Representative
Mail:
Sort Mail and ensure it is given to the appropriate person. (List provided to the receptionist of which residents have given permission for mail to be opened)
ICims:
Primary contact for VSC HR Representative
Request posting of a job
Obtain copies of social security, drivers license, and bank account information
Request applicant for interview to be scheduled per Administrator request
Schedule time for new hire to start orientation and complete training paperwork
Maintain in an organized manner training files and Medical files
Track required training and ensure employees are completing in a timely manner
Provide Business Office Manager information necessary for replicon
Send employees information to appropriate VSC Representative for Vehicle insurance (After requested by Administrator)
Oversee Front Office:
Answer phones and direct calls to the appropriate person
Relay messages in a timely manner
Inventory of office supplies
Maintain copiers, faxes, and phones
Report repairs as needed to appropriate VSC Representative
Personal Funds:
Responsible for maintaining deposits and withdrawling from each residents personal funds account
Balance resident ledger sheets at each transaction
Reconcile cash on hand ledger sheet and balance with BOM weekly
Purchase Orders:
Submit PO's to appropriate VSC Representative as requested by Administrator
Generations Order:
Submit generations orders after approval of Administrator
Qualifications
Must have 8 years of driving experience with a clear driving record.
Must possess a High School Diploma or GED- Prefer some College and/or clerical experience
Must be able to read, write, understand and follow directions
Must possess good written and verbal communication skills
Must possess good computer skills and be able to work with Microsoft office, including development of excel spreadsheets
Must possess good financial understanding of Accounts Receivables/Payables, balancing checkbooks, etc
Must possess good Human Resource understanding
Must possess proven Customer Service skills and experience
Must have a clear SBI and DMV record and maintain them during period of employment
Must not have substantiated findings on the NC Health Care Personnel Registry
Must possess knowledge of or be willing to learn the NC DHSR Adult Care Home Rules and Regulations
Must possess or be willing to obtain NC Adult Care Home Medication Aide Certification within 90 days of hire
Must be CPR certified or obtain within 90 days of hire
