Group: Marketing + Communications

Position: Admin/Database Coordinator

Location: Indianapolis, IN (In-Office Role)

The American Structurepoint Marketing + Communications Group develops the marketing and communications strategies and tactics to promote our services. It is our goal to deliver strategic marketing initiatives in support of American Structurepoint’s mission and market share growth objectives. This group’s number one goal is to make the company look good!

Responsibilities

Coordinate, maintain, update project/personnel/client data in Deltek Vision and ZoomInfo

Gather information, write, proof, and update content.

Manage and coordinate the firm’s on-going Deltek Vision project follow-up process.

Manage and coordinate the firm’s annual Deltek Vision resume update process.

Complete on-going Deltek Vision updates after proposal submissions.

Perform consistent/regular data entry.

Organize vast amounts of information.

Provide database quality control.

Analyze data usage by members of the team.

Provide an inventory/tracking of data that is entered into the database.

Maintain data integrity by examining inputs to eliminate duplicates/unreliable records

Design/develop queries and reports from databases.

Lead/manage various database clean-up projects.

Provide database reports/support to our proposal coordination team in the development of proposals and other qualifications submissions.

Provide database reporting/support to marketing and communications teams as requested.

Other administrative and marketing support duties as assigned, including support for tradeshows/conferences/and career fairs as needed.

Assist with completion of various Marketing Services Support (MSS) tasks. These range from finalizing reports (proof, format, and prep), format and update specification books, create IV reports, create comment/response letters, mail merge (labels, certified mail), scanning, transcribing, laminating, print/mount boards, download and name photos from cameras.

Qualifications

Bachelor’s degree and/or experience equivalent to 3 years of work in field exp.

Deltek Vision or other similar CRM database experience.

Ability to meet deadlines and ensure tasks are completed in a timely manner.

Excellent verbal and written communication skills.

Organized, resourceful, and self-motivated.

Team player with ability to work with a wide variety of personality types.

Active listener, fast learner, and eager to help.

Adept at prioritizing, scheduling, and multitasking.

Ability to manage and lead multiple database projects at once.

Proficient in Word, Excel, Adobe, and Outlook.

Architecture and/or Engineering industry experience preferred but not required.
