Role Description
The Executive Assistant is a full-time, on-site role based in Seattle, WA, providing direct support to senior leadership to ensure their time and priorities are managed effectively. Day-to-day responsibilities include managing calendars, scheduling meetings, organizing travel, and coordinating internal and external communications. The role will prepare and process expense reports, track key deadlines, and support the execution of strategic initiatives and projects. The Executive Assistant will also maintain documentation and files, help coordinate events or board meetings, and serve as a central point of contact between executives, team members, and external partners. This position requires high professionalism, discretion, and the ability to anticipate needs in a fast-moving healthcare startup environment.
Qualifications
Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and task prioritization.
Experience with Administrative Assistance, including documentation, logistics, and office organization.
Ability to prepare and manage Expense Reports accurately and in a timely manner.
Excellent Communication skills, both written and verbal, with the ability to interact confidently with internal and external stakeholders.
High level of professionalism, integrity, and discretion in handling confidential information.
Strong organizational skills, attention to detail, and ability to work independently in a dynamic environment.
Proficiency with common productivity tools (e.g., Google Workspace or Microsoft Office, calendar and project management tools).
Previous experience supporting executives in a startup, healthcare, or technology environment is preferred.
Associate or Bachelor’s degree in Business, Administration, or a related field, or equivalent professional experience.
