Southern Glazer’s offers a competitive compensation package with an hourly pay rate of $24.60 to $40.37 / hour. In determining a final offer, the company will evaluate a specific candidate's education, skills, and experience and will make an offer appropriately.

Overview The Executive Assistant supports the Executive Team by delivering essential services that contribute to the organization’s mission and the daily operations of the Executive Office. This role provides high-level administrative support to the Senior Vice President, Vice President, Senior Director, and other members of the leadership team, ensuring seamless coordination and execution of executive priorities.

Primary Responsibilities

Create, edit, and prepare presentation materials for sales executives (as applicable)

Analyze and report on monthly, quarterly, and year-to-date sales volume trends

Develop custom queries within proprietary sales tracking systems

Compare wine and spirits sales across categories, price points, and market segments for use in presentations and business reviews

Monitor and track budgets, expenses, service contracts, and supplier fiscal data

Manage logistics and agendas for meetings, dinners, off-site functions, and special events—including travel and hotel arrangements

Screen incoming calls to the Executive team, assess urgency, and respond based on knowledge of preferences, priorities, and availability

Maintain and communicate executive availability through calendar oversight, including appointments and travel

Support a variety of internal customer groups with adaptability and professionalism

Prepare and process expense reports, operational invoices, meeting minutes, and internal communications

Coordinate and maintain senior management calendars, meetings, and conference calls

Arrange travel for management, including transportation, lodging, and itineraries

Ensure attention to detail in office operations and related departmental functions

Supervise the reception area and administrative support staff

Perform other job-related duties as assigned

Minimum Qualifications

Bachelor’s degree plus five years of experience; or an equivalent combination of education and experience

Proficient in Microsoft Office Suite

Excellent time management skills, self-driven multitasker able to work with heavy interruptions, time constraints, and strict deadlines

Great organizational skills and attention to detail are required in handling clients, documentation, and priorities

Excellent customer service skills in all interactions with internal and external customers, including but not limited to personnel from other divisions, vendors, suppliers, and other departments

Ability to work independently and efficiently, organizing and prioritizing work to meet deadlines

Ability to exhibit a high level of integrity and commitment to maintaining confidential information

Physical Demands

Physical demands include a considerable amount of time sitting and typing/keyboarding, using a computer (e.g., keyboard, mouse, and monitor), or adding machine

Physical demands with activity or condition may occasionally include walking, bending, reaching, standing, and stooping

May require occasional lifting/lowering, pushing, carrying, or pulling up to 20lbs
