Job Description
The Project Manager in the President's Office at UT Health San Antonio plays a crucial role in supporting strategic initiatives, managing special projects, and effectively executing administrative functions under the direction of the Vice President and Chief of Staff. This multifaceted role encompasses diverse responsibilities including overseeing community sponsorships, volunteer and engagement initiatives including the annual State Employee Charitable Campaign (SECC) and the Association for Retired Faculty and Associates (ARFA), and internal support of standing committees such as Gifts for Children. Moreover, this position will require effective coordination, planning, and execution of special events and strategic endeavors on behalf of the Office of the President. Success in this role will require exceptional organizational prowess, adept communication skills, and a proactive approach to managing multiple priorities in a dynamic, fast-paced environment.
Responsibilities
Leads the implementation of assigned projects on behalf of the President's Office; coordinates the activities of a project team with employees representing other departments across the institution, identifies appropriate resources, and develops schedules to ensure timely completion of the project
Partners with project sponsors, senior leaders, and key stakeholders to determine project goals and priorities
Manages project expectations with stakeholders, sponsors and others as appropriate; advises on project progress, potential issues, obstacles, risk, conflicts or challenges
Manage project resources, including budgets, timelines, and personnel, to ensure efficient and effective project delivery.
Identify potential risks and obstacles to project success and develop strategies to mitigate them in a timely manner.
Facilitate communication among project team members and stakeholders through regular meetings, progress updates, and comprehensive reports to the President and other relevant stakeholders.
Monitors performance and recommends schedule changes, cost adjustments or project resource additions to ensure quality standards are met for all project deliverables.
Support the President in the execution of special initiatives, events, and programs as needed, including high-profile projects that require confidentiality and discretion.
Evaluate project outcomes and processes to identify areas for improvement and implement best practices to enhance project management effectiveness.
Performs all other duties as assigned.
Qualifications
Experience and knowledge of standardized project management tools and methodologies.
Extensive knowledge of relevant project management software and all Microsoft Office business supporting applications.
Ability to work under pressure and meet tight deadlines.
Ability to work collaboratively on projects or in work group and improve workflows.
Strong written, verbal and interpersonal communication skills.
EDUCATION: Bachelor's degree in Business Administration, Healthcare or Public Administration, Project Management, or related field is required.
PREFERRED: Project Management Professional (PMP) certification preferred.
Preferred experience in project management or related role, experience higher education or healthcare administration highly preferred.
Strong organizational skills with the ability to manage multiple projects simultaneously and meet deadlines.
Excellent communication skills, both verbal and written, with the ability to effectively communicate with diverse stakeholders.
Proficiency in project management software and tools, such as Microsoft Project, Asana, or Trello.
Demonstrated leadership ability and a collaborative approach to working with teams.
Strategic thinking and problem-solving skills with attention to detail.
Ability to maintain confidentiality and exercise discretion in handling sensitive information.
Previous project Management experience working with community engagement and cross-collaborative initiatives.
