Summary:

The Director of Gifts and Records Management is a critical position in the Office of Philanthropy, and specifically on the Development Operations team. This leader is expected to ensure that all transactions are accurately entered into the Philanthropy database and works with our systems and reporting team to ensure that these transactions can provide accurate fundraising reports. The director also ensures that proper records of donor intent are stored and confirms this by leading the monthly reconciliation process with Fund Accounting. The director manages two subordinate positions and collaborates with donor relations, annual giving, principal, planned and major giving and alumni relations to provide appropriate training on policies, process and procedures to ensure financial control. This position reports to the executive director of development operations

Responsibilities:

Provides direct supervision and management to GRM subordinates to ensure data quality, accuracy, and timeliness; assigns team duties and establishes and maintain procedures to ensure quality while meeting deadlines for processing.

Assists with daily gift and record entry tasks and producing tax receipts for donors.

Establishes and updates current policies and procedures for transaction entry, including coding standards to ensure accurate financial reporting for Philanthropy and Fund Accounting; works with RUSH Treasury to maintain depository accounts, including those for donor-advised funds, gifts of stock, cash wires and automated clearing house (ACH) payments and in-kind gifts.

Processes refunds of donor funds and grants upon request and maintains appropriate records for audit.

Collaborates with the donor relations, stewardship, principal, planned, major and annual giving, and corporate and foundation relations teams as well as all positions in Development Operations to ensure adherence to policy regarding donor intent and the accurate reporting of transactions; reviews and retains gift, pledge and letters-of-intent documents.

Performs the monthly audit of depository accounts against the Philanthropy recording database.

Collaborates with Fund Accounting and Audit to ensure proper recording of pledges, gifts and payments, including deferred and planned gifts in their systems.

Other information:

Associates degree business, accounting, or similarly related study required.

Minimum five years managing an organization’s revenue processing functions in a collaborative work environment; management of subordinates required.

Understands how donors contribute to 501(c)(3) organizations, including planned giving instruments–annuities, trusts and gifts of insurance, and donor-advised funds required.

Familiarity with basic accounting principles.

Experience using electronic and automated data systems, databases and reporting environments as an end user; capable of producing a design specification for a report, a data request or a new process or procedure.

Excellent listening skills coupled with verbal and written communication skills appropriate to the situation.

Excellent executive function, able to manage and assist in multiple projects in a given timeframe.

Preferred Job Qualifications:

Experience as a financial accountant or as auditing/reconciliation specialist, particularly within a not-for-profit 501(c)3 organization preferred.

Bachelor's degree in business, accounting, or similarly related study preferred.
