Editorial/Production Coordinator

The American Academy of Ophthalmology is looking for an Editorial/Production Coordinator. The Editorial/Production Coordinator copyedits, reviews, and revises documents related to the Preferred Practice Patterns and Ophthalmic Technology Assessment activities, as well as creates and disseminates communications to the volunteer committees for managing workflow. The Editorial/Production Coordinator also manages processes from pre-manuscript phases through publication and posting of these documents on the Academy website for dissemination to ophthalmologists and to the public at large. These clinical publications contribute to the breadth and timeliness of the evidence-based medicine provided to ophthalmologists to enhance their knowledge and improve their care to patients, ultimately enhancing patient outcomes.

Responsibilities:

Provide copyediting and production assistance as needed, including formatting manuscripts and tables, checking references, obtaining permissions for reproductions, compiling related materials, handling financial disclosures and copyright releases for PPPs/OTAs in draft stage, and producing submissions for PPP/OTA manuscripts for publication in the Ophthalmology journal as appropriate.

Develop communications and devise follow up plans for multiple PPP and OTA panels of volunteer ophthalmologists and Quality & Data Science staff to continue progress on OTA development and publication.

Provide administrative support for the Quality & Data Science department, including submitting invoices, scheduling meetings and maintaining calendars for the VP and Director, processing expense reports, registering products for copyright, word processing, photocopying, monitoring the general Quality email inbox, and updating and maintaining the Guidelines section of the Academy’s website.

Coordinate logistical details of committee/panel meetings, including catering, housing, and agendas, and assist manager as needed for OTA/PPP meetings.

Track manuscript development using timelines and by maintaining checklists and procedures/handbooks of required steps for each project, notifying manager of priorities and upcoming tasks and preparing reports on status of projects and progress and maintain workflow deadline with authors, reviewers, and fellow staff by regular “check-ins.”

Requirements: Familiarity with medical writing, clinical terminology, style guides and scientific data dissemination

Familiarity with online publishing, content management systems, and peer-reviewed journal processes as touchpoints for dissemination

Some understanding of project tracking for the dissemination of clinical data, communicating with medical teams, adhering to board publication schedules

Some understanding of reference libraries/databases – Pubmed, Cochrane Library, etc.

Understanding of medical society nonprofit mission and agenda

Proficiency in MS Word, Excel, Adobe Acrobat, content management systems for web editing, EndNote reference software

Ability to proofread and copyedit

Some experience in analysis of the peer-reviewed scientific literature and understanding of systematic literature searches

Clear expression of ideas and concerns, verbally and in writing

Open to suggestions, flexible and able to make changes to enhance work production

Provide analysis and alternative suggestions to complex problems, considering organizational values and constraints

Strong attention to detail and interpersonal skills

College degree required

A background in the biological sciences, medical communication/publication, and/or medical field would be a plus to understand the terminology, import and content of Guidelines and Assessments.

Hybrid – 3 days in the office
