What we are looking for
We are seeking an experienced, execution-focused Executive Assistant to support the CEO-Ops team, which includes the CEO and his Chief of Staff. This is a dynamic and fast-paced role that will give you the opportunity to learn directly from a successful entrepreneur how to grow an organization from the ground up. This role is pivotal in ensuring smooth and efficient operations, and requires an individual who is highly organized, responsive, and proactive.
The impact you will make:
Schedule & Meetings
Meticulously manage the CEO’s calendars in coordination with the Chief of Staff.
Organize and prepare meeting agendas, materials, and presentations.
Coordinate complex internal and external meetings and conference calls.
Manage meeting logistics, including circulating pre-reads, attend meetings to take notes, track action items, and distribute summaries.
Travel & Events
Coordinate travel arrangements, bookings, and events.
Own company event logistics and planning, such as quarterly Executive Offsites.
Handle all logistics related to the CEO-Ops team’s travel.
Communications
Facilitate effective communication between internal departments.
Act as liaison between executives and internal/external colleagues.
Prepare written communications, agendas, and meeting notes.
Build and maintain relationships with stakeholders to support cross-functional collaboration.
Handle confidential information with utmost discretion.
Administration
Handle mail (both physical and emails) as needed.
Manage team expenses, create expense reports, and monitor budgets.
Assist with ad hoc projects, including networking events
Cross-functional Support
Take on White Space Projects cross functionally – supporting other team members on special projects as needed
Other
Manage personal errands and tasks as needed to free up the CEO’s time, allowing them to focus on business priorities.
What you bring to the table:
Experience: 2+ years of experience supporting an entrepreneur or C-level executive, or in a high-paced, white-glove customer service role (e.g., hospitality, retail, client services, talent management).
Administrative Skills: Proven ability in managing complex schedules, inboxes, and logistics efficiently.
Executive Management: Ability to effectively manage upwards to the CEO, optimizing their time and energy allocation for maximum productivity and well-being. It sometimes takes pushing back on requests!
Communication: Excellent verbal and written communication skills, with the ability to prepare critical communications and meeting notes.
Point of View: Ability to offer proactive recommendations and perspectives, presenting informed opinions and solutions before seeking direction.
Data-Driven: Utilizes data and metrics to inform decision-making across all aspects of the role. Ability to gather, analyze, and interpret relevant data to identify trends, opportunities, and areas for improvement. Ability to pattern match and make decisions based on observed patterns, enhancing problem-solving capabilities and contributing to strategic decision-making processes.
Confidentiality: High degree of confidentiality and accountability in handling sensitive information.
Self Motivated & Tenacious: Strong drive to complete tasks and projects without being asked. Willingness to stick with a problem or project until completion.
Attention to Detail: Detail-oriented and highly accountable for the quality and accuracy of work.
Multitasking: Ability to multitask effectively and manage logistics with confidence.
Proactivity: Ability to critically analyze situations, anticipate needs, and provide thoughtful insights to support decision-making processes.
Curiosity: High degree of curiosity and eagerness to learn, with the CEO as a mentor.
Travel Flexibility: Willingness to travel and work with the CEO in person as needed.
Bonus : Experience creating Google Slide presentations, working in Excel / Google Sheets & creating data visualizations (e.g. graphs) for company presentations.

Alt's compensation package includes a competitive base salary benchmarked against real-time market data, as well as equity for all full-time roles. We want all full-time employees to be invested in Alt and to be able to take advantage of that investment, so our equity grants include a 10-year exercise window. The base salary range for this role is: $85,000 - $100,000. Offers may vary from the amount listed based on geography, candidate experience and expertise, and other factors.
