A Grant Coordinator position is available at the MGH Depression Clinical and Research Program (DCRP), a division of the Department of Psychiatry at Massachusetts General Hospital. Reporting to the Director of the DCRP, this critical role encompasses research grants management and financial account coordination for the research program. The DCRP is a world class center for research and treatment of depressive disorders, staffing approximately 15 psychiatrists and psychologists, 6-8 research coordinators, and a 3-member clinical support staff. Work within a constantly evolving clinical and research program as the Grant Coordinator responsible for a large range of tasks under the supervision of the Director of the DCRP and collaboration as needed with the Department of Psychiatry’s Finance Manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Research Grant and Contract Management

Coordinate grant submissions in collaboration with DCRP Investigators, for federal institutions such as National Institute of Health (NIH), private foundations, etc.

Oversee preparation of communications between investigators and NIH: progress reports/Just-In-Time requests.

Work with Research Management to establish and manage research funds upon receipt of awards.

Facilitate establishment and implementation of industry research contracts and consulting contracts. Act as contract liaison between DCRP and Research Management/Clinical Trials Office, Partners Healthcare Finance, and MGH Legal Offices. This includes occasionally working with outside legal counsel when needed to execute contracts and payments to vendors and consultants.

Prepare contract change orders when necessary and negotiate with sponsors.

Communicate with collaborators and Partners Innovation office for processing of confidentiality agreements, intellectual property disclosures and patent applications.

Financial Coordination of Research Program

Provide monthly reports to DCRP Director, including generating, reviewing, and supporting the interpretation of financial statements. Track actual budgets on a monthly basis for each research study and for DCRP research sundry funds, and modify projections as requested.

Process accounts payable including check requests, site payments, invoices and internal transfers. Manage Consultant Agreements & Payments. Coordinate travel reimbursements.

Manage supply ordering for the program.

Ensure compliance with Partners Finance practices, including policy and procedure compliance, benefits and payroll changes. Manage and implement salary changes for all DCRP personnel, in consultation with DCRP director.

Manage consulting contract accounts receivable and invoicing. Ensure that payments to DCRP are made in a timely manner, e.g. in multisite studies that pay contingent upon recruitment/completion of study subjects.

Create budget templates for studies to ensure accurate and efficient budgeting.

Prepare budgets for sponsors, including commercial, foundations and federal funding sources.

Maintain record of grant proposals submitted and awarded.

Manage personnel assignments to funding sources, in collaboration with DCRP Director.

Provide reports to outside vendors (including federal government) as necessary.

Research Coordination and Oversight

Ensure studies are conducted in compliance with respective investigational plans and all applicable regulations, IRB requirements, and company policies and procedures.

In addition to completing the duties listed above, the ARC will have an opportunity to manage and coordinate clinical studies as a member of the research team. This involves screening patients for study eligibility, data entry and analysis, manuscript preparation, and clinical laboratory work such as phlebotomy and EKG administration. All Research Coordinators work closely with the physicians and psychologists on staff in managing patient care throughout the studies. It is expected that the Grant Coordinator will spend about 20-30% of their time on research study coordination.

If desired, the Grant Coordinator will have an opportunity to participate in writing of academic articles for publication and posters for presentation as a member of the DCRP. This may involve data entry and analysis, literature searches, and assistance with writing portions of the manuscript. For such projects, the Grant Coordinator will work closely with and receive supervision from the physicians and psychologists on staff. This activity is considered optional, depending on the Grant Coordinator’s interest and time available.
