Job Description

Executive Assistant to the President & CEO Integrity Support Solutions | Greater Philadelphia Area

Full-Time | $55,000–$60,000

Are you the person who notices what needs to be done before someone asks?

Integrity Support Solutions is seeking an experienced Executive Assistant to the President & CEO who thrives on creating order, anticipating needs, solving problems, and making sure important details don\'t fall through the cracks.

This is not a traditional administrative role centered solely on completing assigned tasks. We\'re looking for a trusted partner to executive leadership—someone who sees a gap and thinks, “Here\'s how we can fix that.”

What You\'ll Do You\'ll help keep our executives and organization moving by:

Managing executive communications, follow-up, scheduling, and priorities

Identifying actionable emails and translating them into tasks and deadlines

Preparing meetings, correspondence, documents, spreadsheets, and presentations

Coordinating client/family onboarding and welcome materials

Supporting new-hire orientation and collecting required documentation

Monitoring employee credentials, licenses, ISPs, and other required records

Maintaining office supplies and administrative systems

Coordinating our monthly Butterfly Bulletin and other communications

Managing calendars, including employee time-off tracking

Planning employee/client events, meetings, celebrations, and special projects

Assisting with projects such as office moves, organizational initiatives, and process improvements

The common thread is ownership . We want someone who can receive an objective, organize the details, anticipate needs, communicate with the right people, and carry it through to completion.

You'll Thrive Here If You... You\'ll Thrive Here If You...

Notice details others may miss

Keep track of commitments and aren\'t afraid to follow up

Enjoy creating systems, checklists, and efficient processes

Can distinguish what\'s urgent from what\'s simply noisy

Work independently without needing every next step provided

Communicate professionally with employees, families, community partners, and leadership

See recurring problems and naturally begin thinking about solutions

Take pride in finishing—not simply starting

Are comfortable saying, “I noticed this isn\'t working. Here\'s what I recommend.”

Qualifications: High school diploma or GED required; associate degree or administrative certification preferred

3–5+ years of executive administrative, office management, or operational support experience

Executive support experience strongly preferred

Strong written/verbal communication, customer service, organization, and project-management skills

Proficiency with Microsoft Office and Google Workspace

Ability to learn agency technology and software quickly

Ability to handle confidential information with discretion

Healthcare, human services, IDD/autism, or home-care experience is a plus

Valid driver\'s license, automobile insurance, and reliable access to a personal vehicle for occasional business travel; authorized mileage is reimbursed

Must pass Pennsylvania Criminal Background Check

Benefits & Perks: $55,000–$60,000 salary , based on experience

Health, dental, and vision insurance

401(k) with company matching

Paid time off and paid holidays

Mileage reimbursement for approved business travel

Professional development and training opportunities

Employee recognition and appreciation activities

Collaborative, mission-driven work environment

Opportunity to work closely with executive leadership and contribute to organizational growth
