Description

IFG is seeking a highly organized and proactive Executive Assistant to provide high-level support to the General Counsel and, as needed, members of the Compliance Department. This role will enhance the efficiency and effectiveness of these teams by providing day-to-day administrative and operational support, ensuring consistency, back-up coverage, and cross-functional support in a dynamic legal and regulatory environment.

Job Duties

  • Provide high-level support to the General Counsel and, as needed, the Chief Compliance Officer and other members of the Compliance Department.
  • Conduct client-related research and gather documents using the firm's back-office systems and third-party technologies.
  • Coordinate the collection of data and information, as needed, with key departments across the firm.
  • Log new cases and complaints and, as needed, prepare and submit documentation to the insurance company for coverage assessment.
  • Assist the General Counsel with preparing language for regulatory filings related to claims or complaints, as applicable; obtain required signatures and submit final filings to FINRA.
  • Assist with Representative Licensing/Professional (Rep LP) related tasks, as needed.
  • Prepare and run reports at the request of the General Counsel, Chief Compliance Officer, or other members of the Compliance Department.

Qualifications

Education & Experience

  • Minimum of five years of experience as an Administrative or Executive Assistant, preferably within the financial services industry.
  • Bachelor's degree from an accredited university in a relevant field preferred.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Publisher.
  • Experience managing calendars, coordinating meetings, and arranging domestic and international travel.
  • Excellent verbal, written, and electronic communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
