In this role, you will manage schedules, coordinate meetings, handle communications, and assist with documentation and process tracking. The ideal candidate uses discretion, is proactive, tech-savvy, and thrives in a fast-paced startup environment.Key Responsibilities:Manage calendars, schedule meetings, and coordinate travel logisticsCoordinate meetings and events, including venues, catering, supplies, room setupPrepare and edit correspondence, reports, and presentationsAttend designated executive, leadership and operational meetingsMaintain accurate, organized records of key discussions, decisions, action-items and follow-up requirementsFollow executive direction regarding sensitive or confidential discussionsMaintain digital filing systems and ensure documents are up to dateManage office supply inventory, restocking, and organizing materials for the teamAssist with onboarding and administrative processes for new team membersBuild administrative processes and/or improve existing workflowsServe as a point of contact for general inquiries and internal supportPerform other administrative duties as assignedQualifications:5 years of administrative, executive support or comparable professional experienceExperience directly supporting executives preferredExperience managing confidential healthcare or financial information (HIPAA awareness)Exceptional organizational and time-management skills with the ability to manage and properly prioritize multiple competing demandsExcellent written and verbal communication skillsStrong proficiency in Microsoft Office, Docusign, and virtual meeting toolsStrong technical aptitude with the ability to quickly learn new software and toolsComfortable working independentlyHighly responsive and works with a sense of urgencyBenefits:Competitive payHealth, dental, and vision insurance (full-time only)Paid time off and holidays (full-time only)Professional development opportunities
