This position reports to: VP Sales, Electrification US Utility

Key Responsibilities

• Administrative support: Performs complex administrative activities and takes responsibility for delivering specific department processes/programs.
• Documentation searches: compiles and issues special reports, presentations, organization charts, correspondence, etc.
• Communication: Responsible for different communication tasks within the area of responsibility, ensuring knowledge and information is shared and keeping others up to date.
• Processes: Implements ABB processes and initiates continuous improvement of administrative processes and procedures to maximize efficiency and effectiveness.
• Confidential support: Acts as point of contact for internal/external enquiries, initiates action and makes judgments about urgency of issues. Provides confidential support to individual executives and/or management team members.
• Special Projects: Works independently on special projects and/or collaboratively on team projects
• Events: Plan and organize business critical internal/external events, including travel arrangements, itineraries, accommodation, conference registration, visiting speakers etc.
• Financial support: Provides financial support on a department/project level, monitoring budget spend, raising and approving requisitions/invoices, handling P-card expenditures, processing/submitting manager's expense report.

Qualifications

• Bachelor's degree in business or a similar field. Business Administration or related field preferred.
• 5+ years of experience in an administrative or assistant role; Experience supporting senior leaders in a global organization is highly preferred.
• The ability to prioritize and multitask, with excellent planning skills.
• A friendly and approachable demeanor, along with a dynamic and enthusiastic approach to tasks
• Strong written and verbal communication skills and demonstrated ability to clearly and effectively communicate across all levels; Ability to edit and refine documents/ communications is highly preferred.
• Expert-level proficiency with Microsoft Office, including Excel, PowerPoint, Outlook, and Teams is essential. Track record of work in fast paced and dynamic business environment; Curiosity, a commitment to follow through and excellent problem- solving skills are essential to success.
• Demonstrated ability to manage multiple daily, weekly, monthly, and long-term tasks for multiple staff members by carefully setting priorities, meeting deadlines, and scheduling time efficiently.
