The position: We are seeking a skilled and motivated Executive Assistant to support two department directors within the Policy, Research & Continuous Improvement and Intergovernmental Relations (IGR) teams. This role is ideal for someone who thrives in fast-moving policy environments, enjoys legislative work, and excels at translating complex information into clear, accessible summaries.
This position plays an essential role in legislative engagement, cross-government coordination, and tracking policy developments at the local, state, and federal levels. You will help ensure SHA leaders have timely, accurate insights that support informed decision-making and strengthen our relationships with agencies, partners, and elected officials.
A key part of the job involves watching public meetings, hearings, and committee sessions, then distilling key points into concise summaries. If you enjoy connecting the dots across policy conversations and helping others understand what matters most, this role will be a strong fit.
Alongside this legislative focus, you will manage high-level administrative functions that keep both teams running smoothly. These responsibilities include coordinating calendars, meetings, travel, expenses, events, communications, and handling confidential information with professionalism and discretion.
About Our Teams: Policy, Research and Continuous Improvement & Strategic Initiatives This team advances SHA’s mission by developing solutions, using data to guide decisions, and testing strategies with staff, partners, and the people we serve. The team includes about 10 staff and a Director committed to collaboration, innovation, and SHA’s values including racial and social equity.
Intergovernmental Relations (IGR) IGR tracks and responds to local, state, and federal policy issues affecting affordable housing. This small team (Director and Coordinator) provides strategic guidance to SHA leaders, organizes tours and outreach for elected officials, and maintains partnerships locally and nationally. In this team collaboration, initiative and flexibility are highly valued.
Both teams work closely together, and the Executive Assistant is essential in supporting their shared work and keeping communication clear and organized.

The ideal candidate will have: Experience working in a legislative environment
Understanding of the legislative process and government decision-making
Ability to watch public meetings, hearings, and committee sessions and extract clear, actionable insights
Strong ability to distill complex or lengthy information into concise summaries
Excellent written and verbal communication
Comfort working in fast-moving policy environments
Minimum Qualifications: Three years of experience as an administrative assistant or similar role such as Legislative Aide/Assistant, Office Manager, or Administrator
Bachelor’s degree in business, public administration, or a related field (or equivalent combination of education and experience)
What will you do? Provide executive support including scheduling, appointments, visitors, travel, expenses, and routine communications
Facilitate communication between Directors, internal teams, external partners, and stakeholders
Support daily operations, staff meetings, commitments, calendars, and workflow
Represent Directors when needed and serve as liaison with internal and external partners
Handle confidential matters and support performance, discipline, and training processes
Conduct research, collect data, track legislation, and coordinate responses to inquiries
Manage data systems, prepare technical reports, and update website content
Oversee office functions including supplies, equipment purchases, payroll, attendance, and procedures
Support personnel processes including tracking actions, assisting with interviews, and preparing hiring materials
Coordinate contracts, monitor spending, support RFPs, and track consultant performance
Prepare vendor payments and maintain supply and equipment inventories
Support budget development, distribute instructions, follow up with teams, and track expenses
