Job Description

HR Admin / PR Clerk

We are seeking an organized, detail-oriented HR Admin / PR Clerk to support a growing HR function within a multi-location medical organization. This position will provide hands-on administrative support across the employee lifecycle, including new hire onboarding, background and pre-employment screening, employee records, payroll preparation, expense processing, and general HR administration. The ideal candidate is comfortable working in an environment where processes are still being developed and is willing to roll up their sleeves to help create organization and structure.

Key Responsibilities
  • Coordinate and administer the new hire onboarding process, ensuring required documentation and information are completed and properly maintained.
  • Provide administrative support and coordination for new hire training and orientation.
  • Coordinate and track background checks, drug screening, occupational health requirements, and other pre-employment requirements as applicable.
  • Provide new hire start information and details to the appropriate internal teams.
  • Maintain, organize, and update employee personnel files and HR records.
  • Review and clean up existing HR files to ensure records are organized, complete, and easily accessible.
  • Provide general administrative support to the HR department, including filing, data entry, record maintenance, and other ad hoc assignments.
  • Assist with employee engagement activities and initiatives.
  • Support the HR Director with payroll preparation every two weeks for both hourly and salaried employees.
  • Assist with employee expense processing and documentation.
  • Maintain accurate and confidential employee information.
  • Provide additional administrative support as needed to help establish an organized and efficient HR function.
Qualifications
  • 12 years of experience in HR administration, human resources support, payroll administration, or a related area.
  • Experience with employee onboarding and new hire administration required.
  • Experience supporting payroll preparation or payroll-related processes strongly preferred.
  • Strong organizational skills with the ability to manage files, documentation, and multiple administrative priorities.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality when handling sensitive employee information.
  • Comfortable working in an environment where HR processes are being developed and improved.
  • Strong communication and interpersonal skills.
  • Ability to work independently while also taking direction from the HR Director.
  • Proficiency with Google Workspace and Microsoft Office or similar productivity tools.
  • Experience with ADP
  • Medical practice or healthcare experience is a plus, but not required.
  • No specific degree required.
