Job Title: Senior Executive Administrator

Location: Ideal candidate will be based in Jord’s St. Paul, MN office

Job Summary

We have an exciting opportunity for a Senior Executive Administrator. We are looking for a detail-oriented, collaborative strategic partner to support the CEO and senior leadership team with administrative excellence, including scheduling prioritization, communication management, select bookkeeping/payroll and office management responsibilities, and execution of strategic initiatives, all of which are crucial to develop and launch our novel technologies in the commercial marketplace. The Senior Executive Administrator will report to the CEO, will support Jord’s leadership team, and will bring strong judgment, discretion, organization, and follow-through in a fast-paced scale-up environment. The ideal candidate is proactive, detail-oriented, collaborative, and comfortable helping a growing company operate with discipline and clarity.

Responsibilities

Build and lead daily operations for the office of the CEO, including assessing and prioritizing incoming requests and inquiries to the CEO, exercising judgement and discretion in handling requests, assigning prioritization, and ensuring calendar is aligned with organizational priorities

Manage scheduling, travel arrangements, and expense reporting for company executives

Prepare, review, and send communications/professional correspondence on behalf of CEO as assigned; prepare presentations, proposals, and reports with senior leaders and maintain appropriate records and files

Support office operations and administrative processes, including coordination of supplies, mail, shipping, file and information management, expense report coordination, payroll administration, and selected monthly bookkeeping activities under the direction of the CFO

Organize, prepare for, and execute leadership team meetings, including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes

Proactively follow up on projects and action items

Actively promote cross-functional collaboration and communication

Support people-leaders with key HR administration, including employee records, organizational charts, role descriptions, onboarding coordination, policy documentation, and performance review planning

Demonstrate a high level of professionalism in dealing with confidential and sensitive issues; ensure compliance with company policies

Perform other related duties as assigned by management

Skills and Experience

Bachelor's degree in business, administration, or related field is preferred, or an associate’s degree in a comparable area with considerable experience relevant to a startup/scale-up company environment

Proven, 3-5 years’ experience as administrative coordinator, executive assistant, financial or HR specialist, or relevant role supporting a senior leader in a fast-paced business environment

Excellent interpersonal skills with strong focus on teamwork and connecting others, and desire to work with a diversity of individuals at all organizational levels

Exceptional verbal and written communication skills, including preparing correspondence, presentations, reports, and meeting materials

Excellent organizational, scheduling, multi-tasking, and creative problem-solving skills with strong attention to detail and ability to achieve results on-time and of high quality

Good judgement and professionalism with the ability to make timely and sound decisions with general direction and minimal guidance

Strong business acumen and drive for managing multiple projects’ workflow execution, balanced with an ability to tolerate risk, ambiguity, and changing priorities

Advanced Microsoft Office skills, and an ability to adapt and become familiar with new programs and software; experience with teleconferencing and productivity tools that facilitate remote/hybrid work, as well as experience with payroll and expense reporting programs are critical for success in this role

Versatility, flexibility, and enthusiasm to work collaboratively in a fast-paced startup/scale-up environment

Experience in commercial agriculture, biologicals, life sciences, and/or a startup/scale-up environment is preferred

Professionalism—approaches others in a tactful manner; reacts well under pressure; treats others with respect and consideration regardless of their status or position; accepts responsibility for own actions; follows through on commitments; inspires the trust of others; works with integrity and high ethical standards; upholds organizational values

Adaptability—adapts to changes in the work environment; manages competing demands; changes approach or method to best fit the situation; able to deal with frequent change, delays, or unexpected events
