Job Description

Executive Assistant to a C-Level Executive – Workforce Housing

Location:  Austin, TX

Compensation: DOE

Work Status: US Citizens

Vector Talent Solutions is a veteran-owned workforce solutions firm dedicated to helping organizations identify, attract, and hire top talent. We are seeking an Executive Assistant for a client with a national workforce housing portfolio of more than 14,000 beds across the continental United States and Alaska.

Based in Austin, this role will support one of the company’s C-level executives. The right candidate will be a trusted partner who can manage competing priorities, anticipate needs, and keep work moving in a fast-paced, startup-style environment.  This is not a traditional 8-to-5 role.  The Executive Assistant must be comfortable adjusting to changing schedules and responding to time-sensitive needs outside standard business hours when necessary.

Key Responsibilities

Manage a complex executive calendar, prioritize meeting requests, and resolve scheduling conflicts.

Coordinate business travel, itineraries, lodging, and last-minute changes.

Prepare meeting agendas, presentations, briefing materials, and follow-up communications.

Track decisions, deadlines, and action items to help the executive and key stakeholders maintain momentum.

Serve as a professional point of contact for internal leaders, clients, vendors, and other external partners.

Manage executive correspondence and handle sensitive information with discretion.

Process expenses and maintain organized records in accordance with company procedures.

Coordinate across corporate teams and field operations, often with limited direction and shifting priorities.

Identify potential issues early, recommend practical solutions, and take ownership of administrative projects as needed.

Qualifications

5+ years of experience supporting a senior executive, preferably a C-level leader in a growing or fast-moving organization.

Strong calendar management, travel coordination, and organizational skills.

Excellent written and verbal communication skills, with sound judgment when representing an executive.

Proven ability to handle confidential information and navigate competing priorities.

Proficiency with Microsoft 365 or comparable productivity and collaboration tools.

A proactive, adaptable working style and the ability to follow through without close supervision.

Willingness to work a flexible schedule when business needs require it.

Work Environment

This position is based in Austin, Texas. The company operates across multiple locations and time zones, so schedules and priorities can change quickly. Success in this role requires responsiveness, flexibility, and a practical approach to getting things done.

If your background aligns with this opportunity, we encourage you to apply. If you or someone in your network may be a strong fit, please message me directly or email [email protected].
