Marketing Coordinator

KTUA is looking for an inspired, creative, and motivated individual with a passion to help support a planning and landscape architecture firm through all phases of the proposal process, from pre-RFP strategy to final submittal. This position offers the opportunity to collaborate closely with project managers, senior staff, and consultants to gather, organize, and produce high-quality responses to RFPs and RFQs. Our projects are primarily located throughout Southern and Central California, and this role will be based in our San Diego office.

Key Responsibilities: Coordinate and lead the entire proposal lifecycle, from reviewing RFQs/RFPs to developing, coordinating, and submitting final proposals.

Coordinate all proposal materials with both internal and external team members.

Produce the final proposal deliverable: exporting, printing, binding, and coordinating delivery by established deadlines.

Proofreading for consistency, grammar, and compliance with RFP instructions.

Confirming all required forms, certifications, and attachments are included.

Maintain a library of company information, materials, and resources (resumes, project sheets, imagery, references, certifications, etc.).

Website content maintenance and social media support.

Attend various daytime and evening industry events.

Scheduling and facilitating proposal kickoff and review meetings.

Maintaining brand consistency across all materials.

Perform additional marketing coordination and administrative duties as needed.

Qualifications: An undergraduate or graduate degree in Marketing, Business, English, Communications/Graphics, or a related field is required.

Between 2-3 years of marketing experience, ideally in the AEC industry.

Must be proficient with Microsoft Office and Adobe Creative Suite, including InDesign and Illustrator.

Strong time management and organizational skills.

Ability to multitask and work on multiple proposals and tasks daily.

Motivated self-starter who can work independently and in a team environment.

A good eye for visualization, layout, and graphic design.

Ability to work in a fast-paced environment.

Favorable background check and ability to travel.

Must be authorized to work in the USA (Citizenship or current VISA/Green Card).

Salary Range: $65k - $70k, commensurate with experience
