Executive Assistant / Integrator (Executive Assistant | Chief of Staff Support | Operations Coordinator)

Location: Miami, FL (Aventura Area) – Full-Time, On-Site

Salary: $70,000 – $80,000 (DOE) + bonus opportunity

About the Role

We are seeking a highly organized, proactive Executive Assistant to serve as the right hand to one of the firm’s Partners. This role goes beyond traditional administrative support. You will act as an operational integrator, helping manage priorities, coordinate relationships, and ensure follow-through across key initiatives. The Partner you will support is focused on growing the firm’s lending and capital advisory division while raising equity and expanding investor relationships. You will play a key role in helping the Partner stay focused on high‑value work, strategic relationships, and business growth.

Key Responsibilities

Manage the Partner’s calendar, inbox, priorities, and daily workflow

Act as a gatekeeper to protect time and manage requests

Ensure follow-through on goals, KPIs, and deadlines

Anticipate needs and proactively solve problems

Prepare correspondence, documents, and briefing materials

Maintain and organize the Partner’s CRM and key relationships

Assist with capital initiatives including investor outreach and lending support

Coordinate domestic travel (flights, hotels, transportation, itineraries)

Manage conference registrations and schedules

Ensure the Partner is fully prepared for meetings, travel, and events

Support the relationship-driven aspects of the Partner’s role

Coordinate meetings, lunches, and networking commitments

Maintain professionalism, discretion, and strong interpersonal awareness

Maintain a clean and organized office environment

Manage mail, packages, scanning, and document organization

Maintain digital organization across systems and shared drives

Coordinate with vendors and internal stakeholders as needed

Assist with project coordination and execution

Track tasks, deadlines, and follow-ups

Support vendor coordination and operational logistics

Assist with ad hoc operational projects

Required Skills & Experience

4+ years of experience as an Executive Assistant or similar high-level support role

Strong organizational and time management skills

Highly tech‑savvy and comfortable learning new systems (Zoho experience is a plus)

Excellent written and verbal communication skills

Socially intuitive and relationship-oriented

Comfortable supporting both business and occasional personal tasks

Bilingual in English and Spanish (required)

Able to work fully on-site Monday–Friday

Compensation & Benefits

Salary: $70,000 – $80,000 (DOE)

Health Insurance: $500/month company contribution toward eligible medical plans

Dental & Vision: 50% company contribution toward eligible plans

401(k): Eligible after 6 months; 3% company match begins after 12 months

Insurance Coverage: $10,000 life insurance plus short- and long-term disability

Paid Time Off: 20 days per year after 90 days (vacation, sick, personal)
