System Administrator

Job Description

Title : Title System Administrator

Location : Coraopolis, PA or Radnor, PA (Fully in-office)

The Title System Administrator is accountable for maintaining the reliability, security, and performance of the software platform used to generate property titles, deeds, and closing documents. Key responsibilities include managing user access, resolving document generation issues, ensuring system availability, and supporting escrow and title staff to promote secure, compliant, and efficient operations.

As a dynamic and resourceful professional, we will rely on you to perform the following duties:

Design business process solutions that improve workflows and operational efficiency.

Configure and maintain the EssentCORE Title Production System, including user access and audit-related permissions.

Administer user accounts, permissions, and security roles in compliance with data privacy requirements and ALTA best practices.

Provide primary support to production staff for application issues, document and template creation, document generation, and integration.

Support disaster recovery efforts and ensure updates are tested and deployed securely to prevent unauthorized access.

Monitor application health and provide technical support. Track application performance, reduce downtime, and optimize system efficiency.

Create and maintain documentation, including user guides and reports.

Develop training materials for users.

Partner with internal teams, vendors, and management.

Support technical projects, including software implementations and upgrades.

Work with vendors on advanced troubleshooting, patches, and upgrade testing.

Perform additional duties as assigned.

Minimum Education & Experience Requirements:

Bachelor’s degree in information technology, Computer Science, or 3-5 years of experience in system administration, preferably in a real estate/title environment.

Hands-on administrative experience with AtClose (or equivalent title production systems such as SoftPro, ResWare, or RamQuest).

Proficiency in Microsoft SQL Server (ability to write complex queries, manage stored procedures, and monitor database performance) and Windows Server / Active Directory administration.

Demonstrated understanding of the Real Estate, Title Insurance, or Escrow industry lifecycle, including order opening, title search, clearing, and closing processes.

Familiarity with ALTA (American Land Title Association) Best Practices and experience enforcing strict data privacy and access controls (SSO, MFA, role-based permissions).

Willingness to participate in an on-call rotation and perform critical system maintenance/upgrades during evenings or weekends to avoid business disruption.

Proven ability to translate complex technical issues into plain language for non-technical staff (e.g., Escrow Officers, Title Examiners, external vendors).

Ability to prioritize multiple tasks and deadlines with attention to details.

Strong problem solving and troubleshooting skills with the ability to exercise mature judgment.

Strong oral and written communication skills, including presentation skills (MS Visio, MS PowerPoint).
