Executive Assistant / Tax Project Administrator 6-Month Contract with goal of long-term Pay Rate: $40-50/hr Hybrid, 4 days on-site in El Segundo, CA

About the Role We are seeking an experienced Executive Assistant / Tax Project Administrator to provide high-level administrative and operational support to the Corporate Controller’s Office and Tax leadership teams. This position will work directly with the SVP & Corporate Controller and SVP of Tax, serving as a trusted partner who can anticipate needs, manage competing priorities, and ensure the leadership teams operate efficiently. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working in a fast-paced environment with confidential information, global teams, and constantly changing priorities.

What You’ll Do Manage complex calendars, schedules, correspondence, and meeting coordination for the SVP & Corporate Controller, SVP of Tax, and department leadership.

Prioritize competing requests, resolve scheduling conflicts, and exercise sound judgment when determining appropriate responses and next steps.

Coordinate domestic and international travel, including itineraries, accommodations, transportation, and expense reports.

Prepare and organize presentations, reports, meeting materials, agendas, correspondence, and other executive communications.

Assist with materials and logistics for Audit Committee, CFO, Finance leadership, and other executive meetings.

Coordinate information and data collection across global Finance teams and organize materials for leadership review.

Manage vendor invoices, purchase orders, vendor setup, budget tracking, and other financial administrative activities for the Tax department.

Assist with correspondence and documentation related to tax authorities, notices, and inquiries.

Maintain accurate records, contact lists, departmental documentation, and other confidential information.

Coordinate office services, meeting rooms, supplies, meals, and other departmental needs.

Partner with IT and other internal teams to resolve desktop and technology-related issues.

Support special projects and departmental initiatives, including activities associated with the financial close process.

Work closely with other executive assistants and administrative teams to coordinate schedules, meetings, events, and shared priorities.

Anticipate executive and departmental needs and proactively take action to keep priorities moving forward.

Handle sensitive and confidential information with discretion, professionalism, and integrity.

Take on additional administrative and operational responsibilities as the needs of the executive and department evolve.

What We’re Looking For 7+ years of administrative experience supporting senior executives, preferably in a corporate environment.

Experience supporting C-suite executives, Finance, Accounting, Tax, or Controller organizations is highly valued.

Bachelor's degree preferred, but not required.

Strong written and verbal communication skills.

Experience working with domestic and international teams across multiple time zones.

Exceptional organizational skills and attention to detail.

Ability to manage rapidly changing schedules and competing priorities while maintaining accuracy.

Expert proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

Strong problem-solving skills and the ability to independently manage a high volume of work.

Ability to respond with appropriate urgency when situations require quick decisions or turnaround.

Excellent interpersonal skills and the ability to build effective relationships across all levels of an organization.

Highly proactive, self-motivated, and comfortable working independently as well as collaboratively.

Strong judgment and discretion when handling confidential, sensitive, or business-critical information.

Ability to anticipate needs, think ahead, and proactively support executive priorities.

Professional and culturally sensitive approach when interacting with employees, executives, visitors, vendors, and external partners.

Flexibility to occasionally adjust working hours to accommodate executive and business needs.

Demonstrated curiosity and willingness to continuously learn, take on new challenges, and expand responsibilities.

What Success Looks Like Success in this role means becoming a trusted extension of the Corporate Controller and Tax leadership teams — keeping calendars and priorities organized, anticipating needs before they arise, ensuring meetings and projects run smoothly, and providing reliable operational support across the department. The successful candidate will bring a high level of discretion, organization, responsiveness, and ownership while developing the ability to take on increasingly complex responsibilities over time.
