Executive AssistantLocation: El Segundo, CARequired Security Clearance: Active TS with SCI eligibilityPosition Type/Standard Work Hours: Full time, 40 hoursThe Opportunity: Upon award, BTAS will be filling potential openings for the Space Systems Command (SSC). SSC plays a critical role in advancing the United States's space capabilities, delivering cutting-edge solutions to protect and enhance national security. SSC/SZBC specializes in highly classified Space Domain Awareness (SDA) systems, Defensive and Offensive Space Control (DSC/OSC) capabilities, and space test range assets to support the Department of Defense's (DoD) current and future operational needs. As a leader in space technology, SSC/SZ-BC is responsible for the development, integration, testing, deployment, and sustainment of mission-critical systems spanning the entire acquisition life cycle. These efforts ensure the United States Space Force (USSF) and its mission partners maintain a strategic advantage in space operations. This position will support multiple SSC/SZ-BC programs, as well as other initiatives across the Space Force, Air Force, and allied organizations. We are committed to working with exceptional quality and professionalism to deliver excellence to our customers, while providing our employees a stimulating and satisfying work environment as we collaborate with teammates to achieve common goals.Primary Responsibilities:Assist the government in routine business operations, including executive-level administrative support, office management, personnel management, human resources management, and configuration and data managementConduct research, prepare statistical reports, handle information requests, coordinate personnel and appraisal records, manage mail distribution and office support servicesManage executive schedules, plan government travel from booking to reimbursement (i.e., Defense Travel System), coordinate staff activities, and arrange meetings, events, and conventionsAssist and advise on analyzing, interpreting, monitoring, disseminating, and resolving tasks including internal and external organization inquiries and Task Management Tool (TMT) tasksEnsure documents comply with Space Systems Command, Space Force, Air Force, and DoD policies, laws, and regulationsFacilitate interfaces with critical acquisition organizations, ensure document quality and completenessDevelop, document, modify, transition, and maintain standard functional databases to support organizational mission requirementsPlan and execute the transition of program-specific software and databases into standard or updated systems as approvedManage government civilian recordkeeping and act as the primary contact for civilian human resource management functionsProvide guidance on civilian procedures, rules, and regulationsIdentify and justify requisitions for vacant civilian positions, complete Request for Personnel Actions and security waiversCreate Core Personnel Documents and update Manpower Change RequestsAssist with special civilian manpower requests such as Reimbursable, Superior Qualification Packages, By-Name-Requests, and Position DesignationsAttend and support administration of meetings and reviews; schedule using Microsoft Calendar, capture action items, record minutes, and disseminate them timelyAssist with submission and processing of military and civilian awards and decorationsMonitor status of outbound personnel for awards, order plaques, update recognition boardsNotify government of award timelines, assist with preparing award packages, ensure compliance with regulationsMonitor award package processing until presentation; assist with awards board process including vote consolidation and result presentationDevelop and maintain schedules using Microsoft Suite applications (i.e., Microsoft Project)Minimum Qualifications:Experience performing military and/or civilian executive-level support services, protocol, information management, and administrative support activities; including specifically the areas of Executive Staff Support Functions, Military Protocol Information Management/Operations Support, and demonstrated ability to interface with Senior Leadership within the government (military and/or civil servant)Requires three to 10 years' experience in this type of position or programBA/BS degree is requiredSupervisory Responsibilities: This position may supervise the work of others.Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment.Physical Demands: Must be able to operate a computer and other standard office equipment. This is a Full-Time, Salary, Exempt position.
