Administrative Specialist The Pacific Island Region (PIR) of NOAA's Office of National Marine Sanctuaries manages the Hawaiian Islands Humpback Whale National Marine Sanctuary, Papahanaumokuakea National Marine Sanctuary, and the National Marine Sanctuary of American Samoa. The PIR staff are located across multiple islands. The work is accomplished with personnel with varying responsibilities, including sanctuary management, education, outreach, research, resource protection, facility operations, and administration. We are looking for an Administrative Specialist to perform various administrative and office management support tasks at the Honolulu, HI, site, or at offsite locations as required. Duties and Responsibilities
Provide administrative support and office management support to PNMS; Provide general clerical duties including, maintaining records, answering and directing calls, and shipping mailings; Assist with logistics and preparation of scheduled meetings, workshops or events; Provide travel assistance for federal employees and assist with the management of time and attendance; Assist with new hire orientation and training; Assist in maintaining internal accounting and fiscal records and coordinate balancing and closing of accounts; Assist in reconciling expenditures with fiscal reports and prepare budgets for review as needed; Assist with the gathering of data and preparation of pertinent financial worksheets/reports; Assist with documenting and tracking accountable property inventory, and stay up-to-date on administrative procedures and policies.
Requirements
Bachelor's degree from an accredited college or university, or ten (10) years of experience working in an office environment. Experience providing administrative and meeting logistics support for an office with multiple locations and staff. Excellent verbal and written communication skills. Skilled in Microsoft Office (Word, Excel, etc.), online collaboration tools (Google Workspace/Suite), and good general computer operation skills. Proficient in budgeting and fiscal procedures including tracking expenditures.
