Service Assistant

Job Description

Seeking a highly organized and dependable Service Assistant to provide administrative and clerical support to a busy Service Department and National Service Manager.

This role is responsible for helping keep daily service operations organized, accurate, and running efficiently. The Service Assistant will support scheduling, service documentation, customer communication, purchase orders, invoicing, technician coordination, data entry, and general administrative functions.

The ideal candidate is detail-oriented, comfortable managing multiple priorities, and able to communicate professionally with technicians, customers, vendors, manufacturers, and internal departments.

Responsibilities Provide day-to-day administrative support to the National Service Manager and Service Department.

Assist with scheduling and coordinating technician deployments and service calls.

Track technician assignments, job status, service progress, and completion documentation.

Maintain organized and accurate service department records.

Follow up on outstanding service documentation, paperwork, and required information.

Assist with customer emails and phone calls regarding service-related administrative matters.

Support purchase order processing and invoicing-related tasks.

Perform accurate data entry and maintain service department metrics.

Communicate with customers, vendors, manufacturers, technicians, and internal staff.

Maintain clear communication with management regarding daily tasks, service issues, and ongoing projects.

Assist with resolving outstanding administrative issues and ensure proper follow-up.

Maintain confidentiality of customer, employee, company, and business information.

Support other departments as needed and as workload permits.

Assist with special projects and additional administrative duties as assigned.

Qualifications High school diploma or equivalent required.

At least 2 year of experience working in an office or administrative environment.

Proficient in Microsoft Excel.

Familiarity with Microsoft Outlook, Word, OneNote, and Adobe PDF.

Strong data entry and computer skills.

Excellent organizational and time-management skills.

Strong written and verbal communication skills.

Excellent attention to detail and accuracy.

Ability to prioritize and manage multiple tasks in a fast-paced environment.

Strong follow-up skills with the ability to track outstanding items through completion.

Ability to communicate professionally with customers, vendors, technicians, and internal teams.

Project management or project coordination experience is a plus.

Previous supervisory or managerial experience is helpful but not required.
