Administrative Assistant

About the Role

We are seeking a professional, organized, and detail-oriented Administrative Assistant to support the Office Manager and help ensure the smooth day-to-day operation of a busy office. This individual will serve as a key member of a small team, providing administrative support, maintaining accurate documentation, and delivering exceptional internal and external customer service.

Key Responsibilities

Provide direct administrative support to the Office Manager and office leadership.

Prepare, edit, format, and distribute reports, correspondence, and business documents.

Review reports and documentation for accuracy, completeness, and quality.

Maintain organized digital and physical filing systems.

Answer and direct incoming phone calls with professionalism and excellent customer service.

Coordinate calendars, meetings, and schedules as needed.

Assist with project documentation, vendor paperwork, and general office administration.

Support office operations, including supplies management and administrative processes.

Perform additional administrative duties to ensure efficient daily operations.

Qualifications

Required Skills

Previous administrative support experience.

Strong Microsoft Office skills, with advanced Excel proficiency required.

Experience using Microsoft Word and Adobe Acrobat.

Excellent organizational skills and attention to detail.

Professional communication and phone etiquette.

Ability to review, proofread, and process reports accurately.

Strong time management and multitasking abilities.

Preferred Experience

Experience within construction, engineering, consulting, or another fast-paced professional environment.
