Aspire Communications is a startup, turn-key technology integration company based in Orlando, Florida. Formed in September of 2019, Aspire has quickly grown into a 150+ person operation in less than five years and continues to rapidly expand.

Role Summary

We're looking for a motivated and detail-oriented Assistant Project Coordinator to join our telecommunications construction team. In this role, you'll work side-by-side with Project Managers and field crews to help keep projects on track — from initial planning through final closeout. You'll be the connective tissue between the office and the field, helping coordinate schedules, track deliverables, and make sure the right information gets to the right people at the right time.

Primary Responsibilities and Essential Functions

Project Planning: Collaborating with project managers to create project plans, defining objectives, tasks, and timelines.

Team Support: Assisting in team coordination, assigning tasks, and ensuring team members have the necessary resources.

Communication: Serving as a central point of contact for project-related communications and updates, both internally and externally. This can include dispatching and customer communication.

Documentation: Maintaining project documentation, records, and reports, ensuring accuracy and completeness.

Tracking Progress: Monitoring project progress and identifying issues or potential delays, taking corrective actions as necessary.

Risk Management: Identifying and managing project risks and issues that may impact the project's success.

Budget Monitoring: Assisting with budget tracking and cost control for the project.

Quality Assurance: Ensuring that project deliverables meet quality standards and compliance requirements.

Meeting Coordination: Scheduling and organizing project meetings, including preparation of agendas and minutes.

Reporting: Generating regular status reports and updates for project stakeholders and management.

Stakeholder Engagement: Building and maintaining relationships with project stakeholders and ensuring their needs are met.

Continuous Improvement: Identifying opportunities for process improvement and suggesting enhancements to project management methodologies

Qualifications

What you'll need:

0–2 years of experience in project coordination, construction, or telecommunications (internship experience counts!)

Strong organizational skills with the ability to juggle multiple priorities without dropping the ball

Solid written and verbal communication skills — you'll be talking to field crews, vendors, and clients

Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with project management tools like Procore, Smartsheet, or similar is a plus

Ability to read and interpret basic project documentation, including schedules, work orders, and site plans

A team-first mindset with a genuine willingness to learn

Bonus points if you have:

Experience or coursework in telecommunications, utilities, or infrastructure construction

Exposure to permitting processes or utility coordination

Familiarity with OSP (Outside Plant) or network construction terminology

OSHA 10 certification (or willingness to obtain upon hire)
